This Privacy Policy explains how Wakilii ("Wakilii", "we", "us", or "our") collects, uses, shares, and protects personal data when you use the Wakilii website, application, and related services (the "Service"). It should be read together with our Terms of Use. By using the Service, you acknowledge the practices described here.
Wakilii is the data controller responsible for the personal data processed through the Service. We are based in Uganda and process personal data in accordance with the Data Protection and Privacy Act, 2019 and the Data Protection and Privacy Regulations, 2021. You can reach our privacy team at [email protected].
We collect the following categories of personal data:
| Category | Examples |
|---|---|
| Account data | Your name, email address, organisation or role (if provided), and credentials used to authenticate you. |
| Access-request data | Information you submit when requesting access, such as your name, contact details, and a description of your intended use. |
| Query & usage data | The legal questions you ask, the searches and documents you view, and your interactions with the Output (for example, feedback you give). |
| Technical data | IP address, device and browser type, approximate location derived from your IP, log timestamps, and similar diagnostic information. |
| Communications | Messages you send us, such as support requests and correspondence. |
You do not have to provide personal data to browse public pages, but you cannot create an account or use the research features without the account and query data needed to operate them.
We use personal data for the following purposes, relying on the lawful bases indicated:
When you ask a question, your query is processed — including by AI models and, where applicable, trusted third-party model providers acting on our instructions — to generate a cited answer and research trace. We use query and feedback data to operate the Service and to improve its quality and accuracy.
Please treat the Service like any cloud tool. Avoid entering information you are not permitted to share — including privileged, confidential, or personal data belonging to clients or third parties that you do not have authority to process. You are responsible for the content of the queries you submit.
We use strictly necessary cookies and similar technologies to keep you signed in, remember your preferences, and keep the Service secure. We may use limited, privacy-respecting analytics to understand aggregate usage and improve the Service. You can control cookies through your browser settings; disabling strictly necessary cookies may prevent the Service from working properly.
We do not sell your personal data. We share it only in the following limited circumstances:
Some of our service providers may process data outside Uganda. Where personal data is transferred across borders, we take steps to ensure it is protected to a standard consistent with the Data Protection and Privacy Act, 2019, including using providers that offer adequate safeguards and appropriate contractual protections.
We keep personal data only for as long as necessary for the purposes described in this policy — to provide the Service, meet legal obligations, resolve disputes, and enforce our agreements. Account data is retained while your account is active; query and usage data is retained for a limited period to operate and improve the Service. When data is no longer needed, we delete or anonymise it.
We use technical and organisational measures designed to protect personal data, including encryption in transit, access controls, and the principle of least privilege. No system is perfectly secure, and we cannot guarantee absolute security, but we work to protect your data and to respond promptly to any incident. If a data breach affects your rights, we will notify you and the relevant authority as required by law.
Subject to the Data Protection and Privacy Act, 2019, you have the right to:
To exercise any of these rights, contact us at [email protected]. We will respond within the timeframes required by law and may need to verify your identity before acting on a request.
The Service is intended for legal professionals and adults and is not directed to children. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, contact us and we will take appropriate steps to delete it.
We may update this policy from time to time. Where changes are material, we will take reasonable steps to notify you, for example by posting a notice or updating the "Last updated" date above. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
For any privacy question or request, contact our privacy team at [email protected], or use the contact form.
If you are not satisfied with our response, you have the right to lodge a complaint with the Personal Data Protection Office (PDPO) of Uganda, established under the National Information Technology Authority – Uganda (NITA-U).
